Idro Power Cleaning Equipment — Privacy Policy
When you contact Idro Power, ask for a quotation, apply for a trade account or place an order, you trust us with information about you and your business. This notice explains the information used in running ehrle.shop and dealing with those enquiries and orders.
1. Who is responsible for your information?
Idro Power Cleaning Equipment is a partnership of Arthur Marshall and Ian Marshall and is the controller responsible for the personal information covered by this notice. We are an independent EHRLE distributor.
For privacy enquiries, write to Idro Power Cleaning Equipment, Pingley Farm Cottage, Bigby High Road, Brigg, Lincolnshire DN20 9HE; email sales@idropower.co.uk; or call 01652 659759. Please say that your enquiry concerns personal information.
2. Information used to help you and fulfil orders
This can include your name, business name, telephone number, email, billing and delivery addresses, order and invoice details, quotations, account information and correspondence. For technical advice and repairs, it may include machine models, serial numbers, descriptions of faults and photographs you send us. Please avoid including unrelated personal or sensitive information in photographs or messages.
Trade-account applications and account administration may involve business contact details and saved delivery addresses. Information may be supplied by you or by a colleague placing an order on your behalf. Carriers, payment services and suppliers may provide delivery, transaction or warranty updates. Required fields are identified on the relevant form; without information needed to fulfil an order or enquiry, we may be unable to complete it.
The website also processes technical information needed to serve pages and maintain security, such as IP addresses, browser details and access logs. The separate cookies section below addresses optional tracking.
3. Why we use it
Enquiries, quotations, orders and support: to respond to your request, agree equipment specifications, arrange delivery, manage returns and provide after-sales help. The basis is taking steps at your request before a contract or performing our contract with you. Where you act for a company, our legitimate interest is administering that business relationship and communicating with its representatives.
Records and security: to meet applicable accounting and tax duties, prevent misuse and deal with disputes. The bases are legal obligations where applicable and legitimate interests in protecting the business, its customers and its systems. We must consider the effect on your privacy when relying on legitimate interests.
Email communications: we do not currently send marketing emails. We use email to respond to enquiries and to communicate about quotations, orders, deliveries, accounts and after-sales support.
4. Who receives information
Our business email is provided by ICUK Computing Services Limited / InterDNS. We use Sage 50 for accounting, including customer, invoice and transaction records. We use different couriers according to parcel size and delivery requirements, sharing the recipient and delivery details needed by the selected carrier. Other recipients may include our hosting providers, the payment provider used for your transaction, suppliers arranging direct delivery or warranty support, and professional advisers. We may also disclose information where a legal obligation requires it.
The shop is hosted on WordPress.com and uses WooCommerce and Jetpack to support its operation. Information about the hosting provider’s handling of personal information is available in Automattic’s privacy notice. For information about the provider handling a particular payment or delivery, contact us with your order reference.
5. Cookies, analytics and advertising
Cookies and similar browser storage help shopping baskets, logins and security functions work. Your browser settings let you view, restrict or remove stored cookies; blocking essential storage may stop parts of the shop working. Optional tracking is separate from the information needed to process an order. This privacy notice does not itself give consent to advertising or other optional tracking.
6. How long information is kept
We retain information for the purposes for which it is needed. For orders, invoices and payments, this includes completing the transaction and meeting applicable accounting and tax record requirements. For quotations, accounts, repairs and warranties, we consider whether the enquiry or relationship remains active, whether support is still needed, and whether records are needed to resolve a complaint or legal claim. These factors determine the appropriate retention period rather than a single period applying to every record.
7. Security and processing outside the UK
Our website providers operate internationally, so their processing may involve countries outside the UK. Applicable data-protection safeguards are required for restricted transfers. You can contact us for information about the providers and safeguards relevant to your data; Automattic also explains international processing in its linked privacy notice.
Please do not email passwords or full payment-card details to us. No website or communication system can promise absolute security. If you believe information associated with your account has been accessed without permission, contact us promptly.
8. Your choices and rights
Depending on the circumstances, you can ask for access to your personal information, corrections, deletion, restricted use or a portable copy. You can withdraw consent where we rely on it, without affecting earlier lawful use. We may need enough information to verify your identity and locate the relevant records.
Your right to object: you can object at any time to use of your information for direct marketing. You can also object, for reasons relating to your situation, to processing based on legitimate interests. Contact sales@idropower.co.uk to exercise these rights.
We will handle requests within the applicable statutory time limit, normally one month, and explain any lawful extension or refusal. Some rights have exceptions, including where records are needed to meet a legal duty.
9. Questions and complaints
Please contact us first so we can investigate any concern. You can also complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint/. You do not have to complete our complaints process before contacting the ICO.
10. Updates
We will date material changes to this notice and explain significant changes where appropriate. We will review this notice when the shop adds a new service or changes how it uses customer information.
